How Booking a Chauffeur With Elite Royal Cars Works

Booking a chauffeur should take a few minutes, not an exchange of a dozen emails. This article explains, step by step, what happens from your first message to the moment your car arrives, so you know what to expect and what information helps us most. If you have booked with us before, you will recognise the process; if not, this is the quickest way to see how it works.

Step 1: tell us about the trip

You can contact us through the booking form on our website, by email or on WhatsApp at +39 02 0995 2588. The essentials are the date and time, the pickup and drop-off addresses, the number of passengers and the amount of luggage. For airport pickups, the flight number is the most useful single piece of information, because it lets us follow the flight. For hourly bookings, tell us the starting time and roughly how long you need the car.

If you are not sure which vehicle is right, describe the group and the luggage and we will suggest the best option: a Mercedes E-Class or S-Class for up to three, a Mercedes V-Class for up to seven, or the Sprinter Luxury VIP for up to eight with luggage.

Step 2: receive a written price

We reply with a fixed price in writing, usually within 30 minutes. For our main airport and city routes, prices come from our published price list; for longer routes or special programmes we quote individually. The price includes VAT, fuel, tolls, parking and meet-and-greet with a name sign. It does not change if traffic is heavy or if your flight is late.

Step 3: confirm and pay

When you accept the quote, we check that the vehicle and a driver are available for your date and send you a secure payment link. The link is valid for 24 hours. Once payment is received, your booking is confirmed. Companies can ask for an invoice with VAT details; just send us the billing information.

Step 4: before the day

Before the transfer we confirm the details with you. For departures to the airport, we agree the pickup time based on your flight and on where you are staying, with a margin for traffic. If your plans change, write to us as early as possible. Changes of time or address can usually be accommodated, subject to availability.

Step 5: on the day

On the day, your driver arrives before the agreed time. At hotels they wait outside or in the lobby; at airports they wait in the arrivals hall with a sign showing your name. We follow your flight in real time, and waiting time is included: 60 minutes at Malpensa and Bergamo, 40 minutes at Linate, counted from the actual landing.

Cancellations

Cancellation terms are part of the written confirmation. Transfers can be cancelled free of charge up to 24 hours before the pickup. Hourly bookings, long-distance routes, holiday periods and major events have different deadlines, which are stated clearly when you book. If your flight is cancelled by the airline, contact us and we will look at the situation with you.

After the trip

After the trip you receive your invoice if you asked for one. If something did not go as you expected, tell us: we read every message and use it to improve. And if everything went well, a short review helps other travellers find a service they can trust.

A note for assistants and travel planners

If you are booking on behalf of someone else, tell us the passenger's name, phone number and any preferences, and we will communicate with whoever you choose on the day. We can also handle several bookings for a group or a multi-day programme in one quote. If you book regularly for a company, send us your billing details once and mention the company name in each request, and we will apply them to every confirmation.
